Job Summary:
The Physical Therapy Clinic Manager will oversee the day-to-day operations of the clinic, ensuring the highest standards of patient care, efficient clinic processes, and effective management of staff. This role requires an individual who is highly organized, can manage multiple responsibilities, and has strong leadership and interpersonal skills. The Clinic Manager will work closely with therapists, administrative staff, and patients to deliver quality care and ensure a smooth and effective operation.
Key Responsibilities:
- Staff Management:
- Supervise, train, and schedule physical therapists, assistants, and administrative staff.
- Conduct performance reviews, provide ongoing feedback, and foster a positive work environment.
- Handle staffing issues and implement solutions to maintain optimal team performance.
- Patient Care Management:
- Ensure all patients receive high-quality, compassionate care.
- Oversee patient intake processes and ensure compliance with treatment plans.
- Address patient concerns or complaints in a professional and timely manner.
- Clinic Operations:
- Manage the daily operations of the clinic, including patient scheduling, intake, and discharge procedures.
- Ensure clinic is adequately stocked with supplies and equipment, ordering replacements as needed.
- Implement and enforce clinic policies and procedures to ensure safety, confidentiality, and compliance with health regulations.
- Monitor clinic expenses and assist with budget preparation.
- Financial Management:
- Oversee billing and coding processes, ensuring accurate documentation and timely submission of insurance claims.
- Work with the financial team to track clinic revenues and expenses, aiming for optimal profitability.
- Ensure compliance with insurance and payer requirements.
- Marketing & Community Relations:
- Develop and implement marketing strategies to attract new patients and build clinic reputation.
- Build relationships with referring physicians and local businesses to encourage patient referrals.
- Stay involved in community events or initiatives to increase clinic visibility.
- Compliance & Quality Assurance:
- Ensure the clinic adheres to all local, state, and federal regulations, including patient privacy laws (HIPAA).
- Regularly assess clinic practices to ensure compliance with safety, health, and insurance standards.
- Collaborate with therapists to maintain quality patient care standards and improve clinic efficiency.
Qualifications:
- Bachelor's or Master’s degree in Healthcare Administration, Business, or a related field (preferred).
- Must be a Physical Therapist
- Minimum of 2 years of experience in clinic management or a supervisory role in a healthcare setting (preferably in physical therapy or rehabilitation).
- Strong understanding of physical therapy practices, billing, insurance, and compliance requirements.
- Proven ability to lead and motivate a team.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite and clinic management software.
- Knowledge of medical coding and billing practices preferred.
- Ability to work flexible hours as needed.
