Business Office Manager


LOCATION: Missoula, MT

JOB TYPE: Full-Time Permanent


The Business Office Manager plays a key role in supporting daily administrative and operational functions within a hospice setting. This individual ensures efficient office coordination, accurate recordkeeping, and seamless communication across clinical and administrative teams.


Key Responsibilities

  • Maintain strict confidentiality of patient and organizational information
  • Oversee and manage clinical documentation to ensure compliance with regulatory standards
  • Serve as the primary point of contact for incoming calls, directing or relaying messages appropriately
  • Greet and assist visitors in a professional and welcoming manner
  • Coordinate office communications, including mail distribution and internal updates
  • Support administrative tasks such as document preparation, filing, and general office operations
  • Enter and manage data related to billing and patient records
  • Track patient admissions, discharges, and certification timelines
  • Assist with audits and ensure accuracy of patient documentation
  • Manage office supply inventory and coordinate equipment needs
  • Support payroll-related processes, including timesheet tracking
  • Maintain updated records for staff, patients, referral sources, and partners
  • Participate in community outreach efforts, events, and educational initiatives as needed
  • Collaborate with leadership to support operational and program needs


Qualifications

  • High school diploma required; additional administrative or office training preferred
  • Previous experience in an administrative or office support role, ideally in healthcare
  • Strong attention to detail with excellent organizational skills
  • Proficiency with basic office equipment and computer systems
  • Effective communication skills, both verbal and written
  • Ability to multitask and manage competing priorities in a dynamic environment
  • Professional demeanor with strong interpersonal skills
  • Reliable transportation, valid driver’s license, and current auto insurance
